Three weeks before every review

Week one

You chase.

You send a form. Then you wait. Then you remind people.

Week two

You reconcile.

Three answers, three formats, one supplier.

Week three

You run out of quarter.

By the time the numbers agree, the next review is already due.

How the supplier scorecard works

Five steps, no chasing

Once Every cycle

01 Build the scorecard once

Set your measures, your weights, and the services each supplier delivers. Build it once, reuse it every cycle.

02 Launch in three clicks

Pick the supplier, pick the period, generate. Everyone gets a link and a deadline, and reminders go out automatically. You stop being the reminder.

03 Stakeholders score in context

They rate from 1 to 5 with their own score from last quarter on the same page, and every rating needs a written reason. Five to ten minutes.

04 Get the QBR one-pager

One page per supplier: heatmap, trend, and an executive summary already written. Walk into the review with the deck made.

05 Act on what slips

Anything below 3 gets flagged. The stakeholder decides what becomes an action plan, with an owner and a deadline, and next quarter shows whether it moved.

Audit ready

When the auditor asks, you click once

Including the DORA reviewer asking how you monitor your critical ICT providers.

  • Locked submissions

Sent means final. Only an admin can reopen a period, and it shows.

  • Action plans

Owners, deadlines and checklists attached to the measure that triggered them.

  • One-click audit report

The full record for any period, formatted for the person who asked.

Who built it

A vendor manager, not a software founder.

“I built the tool I wish I had when I was fighting spreadsheets.”

Celia SGAR, co-founder of Vendor Score IT

Celia SGAR

Co-founder, Vendor Score IT

I spent sixteen years managing suppliers at PepsiCo, Nestlé, Danone and Zurich Insurance.

I looked for a tool. Everything I found was built for contract management or third-party risk, priced for enterprises, and took months to implement.

I ran a full quarterly cycle with an Enterprise company before I left, with real suppliers and real stakeholders.

Implementation

Configured in weeks, not months

Two to four weeks, and most of that is waiting on your supplier list.

  • Week 0 You

You send your supplier list, your stakeholders and your scorecard. The only step that depends on you.

  • Weeks 1 to 2 Us

We configure everything, test it against a real supplier and hand it over in one recorded session.

  • Weeks 3 to 4 You, with us on hand

You launch your first evaluation with us on hand. After that you run it without us, which is the point.

Bring the scorecard you use today, in Excel, a form or a slide, and we copy it in as it is. Don’t have one? We build it with you, and you get a quote the same week.

Who it’s for

Built for the team that runs the reviews

Vendor management, SRM, category management, procurement, or a VMO. Whatever the team is called in your organisation, Vendor Score IT sits with it and does one job: supplier performance.

Contracts, purchase orders and onboarding stay in SAP, Coupa, Ivalua or whatever you run.

Pricing

Priced on suppliers, not seats

The prices are public on purpose. We are vendor managers ourselves, and we do not do hidden pricing.

Every plan includes the full platform:

  • Unlimited users and unlimited evaluations
  • Automated surveys with deadlines and reminders
  • A QBR one-pager per supplier, ready for your deck
  • Scorecard models you build once and reuse across every supplier
  • Locked submissions and a full audit trail
  • Action plans on any flagged measure
  • Basic

    Up to 15 suppliers

    €3,500 / year

    €233 per supplier

    Setup, one-off: + €1,000

    Year one €4,500, then €3,500

Ideal for: teams scoring only their strategic suppliers.

  • Business

    Up to 100 suppliers

    €12,000 / year

    €120 per supplier

    Setup, one-off: + €3,500

    Year one €15,500, then €12,000

Ideal for: full-portfolio programmes under audit or compliance pressure.

+ Quarterly programme review with us

    + Single sign-on included

More than 100 suppliers: custom quote.

We keep adding features and pricing will rise as the product grows.

As one of the first companies running it, your rate is locked for three years, with a direct line to the people building it and real influence over what comes next.

The part the software doesn’t fix

No scorecard, no cadence, or nobody to run it? That is a different job.

  • Scorecard design
  • Governance and review cadence
  • Supplier segmentation
  • Fractional vendor-management office

Delivered by our partner Vendor Manager Hub.

ROI

Run your own numbers

We only count time the tool actually takes off your plate. No magical savings on vendor spend.

The people who chase, consolidate and prepare the review pack. Not the stakeholders who score.

Your plan: Basic

What the admin time costs you today

Admin hours per year 320
Hours recovered per year 224
Value of that time per year EUR 13,440

Investment

Year one EUR 4,500
Yearly cost after that EUR 3,500

Net position

Year one EUR 8,940
A normal year after that EUR 9,940

Payback: 5 months

We assume the tool removes 70% of that admin time, not all of it. Someone still builds the scorecard, reads the results and decides what to do.

What this number does not count

  • Catching a supplier sliding in quarter one instead of at renewal
  • The whole record in one place the day risk, compliance or an auditor asks for it
  • Stakeholders who actually reply, because it takes minutes

And it is before a single supplier performs better, which is the actual point.

Your fit call will use your real numbers.

Questions

Questions people ask

How long until we run our first evaluation?

Two to four weeks, depending on how clean your supplier data is and whether you already have a scorecard. Setup and admin training are covered in the setup fee.

Do stakeholders need an account?

Yes. One account, created the first time they are asked to score. Nothing to install and nothing to learn. That account is what lets them see their own previous scores and comments when the next cycle opens. Single Sign On is available for free in our Business plan.

How do you count suppliers in our programme?

Suppliers with an active scorecard in the last twelve months. Not every supplier in your database. Most teams review a fraction of what they buy from, so the number is usually smaller than people expect. Tell us yours on the call and we will tell you which tier you land in.

How often can we run reviews?

As often as you like. Evaluations are unlimited, so running more of them never costs you more. Most teams run quarterly and align it to their QBR calendar.

How is this different from our Procurement system’s supplier module?

Those modules were built around contracts and spend, with performance added later. This does one thing: structured review cycles with weighted scorecards, multi-stakeholder input, automatic consolidation and period-on-period comparison.

Can different stakeholders answer different questions about the same supplier?

Yes. Scorecards are built per supplier, so the measures follow what that supplier actually delivers. A stakeholder who works with three suppliers answers three scorecards, each one relevant to that relationship.

What if we already have a scorecard in Excel?

Send it before the fit call. If we are a fit, the demo that follows runs on your scorecard and your suppliers, not on ours.

Is our supplier data secure?

Data is encrypted in transit and at rest, hosted in the EU on AWS, with an audit trail on every change. We can sign your DPA and complete your security questionnaire. We are not SOC 2 or ISO 27001 certified yet. If your security team needs to review us, bring them in early and we will work to their timeline.

What do we show the auditor?

The audit report. Click once and you get the full record for any period: who scored what and when, the comments behind the numbers, and the action plans that followed. Submissions lock once sent, so the history holds up.

What does scorecard design cost?

It depends on how many suppliers and stakeholders it covers, and whether we start from something you already use. Tell us the shape of your programme on the call and you get a quote the same week.

How much time does this take my stakeholders?

Five to ten minutes per supplier, per cycle. They get an email with a link and a deadline, and their own score from last quarter is on the page when they open it.

Can we score in decimals?

Yes. The scale is 1 to 5 and decimals are allowed, so a 2.5 stays a 2.5 and nobody has to round a real opinion up to a 3.

Do you integrate with our procurement system?

Not out of the box. Suppliers and stakeholders are set up during implementation, and results export to PDF or Excel. We build API connections into your systems on request, scoped and quoted. If a connection has to exist before you can buy, tell us on the call and we will be straight about the timeline.
